Notice was given on the 12/4/25 for the 2024 LR Fencing AGM, to be held on
Saturday 3rd May 2025 at 11.00 am
The meeting will be held at:
Sherbourne Room, The Lansdowne Club
9 Fitzmaurice Place, Mayfair, London W1J 5JD
NOTE: There is a dress code for the Lansdowne club.
Please make yourself familiar with it here.
The Meeting will be held for the following purposes:
- to consider the Minutes of the previous AGM held on 4th March 2024,
- to propose amendment to the Constitution:
- 2.1 to create an additional Elected Officer of Vice Chairperson,
- 2.2 to enable Officers to be replaced if they die, are unwilling or unable to act, or wish to retire,
- to receive the Report from the Chairperson,
- to receive the Accounts of the Region for the financial period ended 30th June 2024,
- to elect or re-elect Officers and Members of the Committee to replace those who retire [if an incumbent chairperson is re-elected this will include authorising continuing tenure] and
- to consider any other appropriate business.
Proposed Amendments to Constitution (as ratified by AGM in 2021)
- Clause 9.1: Insert after “Chairperson”: “the Vice Chairperson”, so as amended the first sentence of the clause reads:
“The Elected Officers of the Region shall be the Chairperson, the Vice Chairperson, the Treasurer and the Secretary” - Insert after clause 9.6 and new clause 9.6A as follows.
“9.6A If an Elected Officer dies, is unable or unwilling to act (whether permanently or temporarily) or wishes to retire, the Committee may appoint a person as a replacement Elected Officer until the next AGM. If the Chairperson is dead or is unable or unwilling to act as Chairperson, a meeting to make such appointment may (in addition to the ways mentioned in clause 10.5) be convened pursuant to clause 10.5 by any member of the Committee. If there are not two Elected Officers who are alive and able and willing to act as such officers, such a meeting shall nevertheless be quorate if such officers who are able and willing so to act are present.” - Clause 10.3 shall be amended to insert after “telephone”: “or online” so that the clause shall read:
“10.3 The quorum for a meeting of the Committee shall be four members of the Committee, two of which (at least) must be Elected Officers, present in person or by telephone or online provided all those other members present are able to participate in the conference call.”

Proxy Form and how to register to attend
Anyone involved in Fencing in the London Region may attend the AGM. However, the only persons entitled to vote and, unless invited by the Chairman, to speak at the Meeting are those individual members of British Fencing with membership formally affiliated to London Region Fencing, who are at least 18 years old at the time of the Meeting, and who have been a registered member of British Fencing for at least three months prior to the date of the Meeting.
If you wish to attend, please let us know by sending your name and BF Membership Number to London Committee Member Hazel Herbert [who for the purposes of this AGM is covering the LRF Secretary’s duties] whose contact details appear at the foot of this notice. This is an in person meeting only, access to the venue is only available with prior communication no later than Thursday 1st May 2025.
If you wish to vote by proxy, you must use the Form of Proxy which is available on the London Region Website. It must be completed as instructed thereon and received by Hazel Herbert not less than 48 hours before the meeting.
If you wish to put yourself forward for election to the duties of any committee post that might fall vacant, you must provide written notice of such to email address secretary@londonregionfencing.org.uk by no later than Saturday 26th April 2025. The proposed amendments to the constitution and the previous AGM minutes will be provided online for review by the same date.
